Event Specific Photography and Video Recording

Certain events have photographers and/or videographers present. Each individual event may have specific photography and video recording rules, which are typically communicated either by the event host for Event Rentals, or by Sumner Center LLC if there is an event specific policy that differs from our default rule. As a default matter, Sumner Center LLC and its Vendors retain the photograph or record Visitors to the Facility incident to capturing Event Specific Photography and Video Recording for marketing. Non-commercial photography and video recording by Visitors as event participation is permitted.  If in your capacity as a Visitor you are entitled to respectfully communicate a wish not to be photographed or recorded. Questions and concerns can be directed to privacy@sumner.center

Event Specific Rules (the Sumner Center)

The following additional rules apply during an Event rental.

Decoration – You may not use any items that would penetrate the walls, ceilings, floors, fixtures, furniture, lighting, or any other part of the Venue, including, but not limited to, screws, nails, or staples. The following decorations are not permitted: glitter or paint. No decoration by Client that requires use of ladders or lifts is permitted.  If decoration requiring off the floor work is desired then you must submit a request for assistance at the time of entering into the Event Rental Contract, or as a Change Request until or during the Walk Through (provided, that at this point any Change Request is subject to scheduling and availability, and there is no guaranty that Operator will be able to accommodate it).

Alcohol – Alcohol is permitted only during those Events where the presence of alcohol is specified in the Event Rental Contract (and not during either the Set Up Period, or the Tear Down Period). Self-service of alcohol is never permitted at an Event.  Any alcohol at an Event must be served by a licensed and insured bar caterer, without exception.

Wires – Any and all wires for decorations must be run to the nearest available electrical receptacle, with the objective of no extension cord run exceeding six (6) feet. Two (2) sets of four (4) receptacle outlets are installed on most of the columns and additional around the perimeter of the event space. In the event of uncertainty, you, your Attendees or Vendors should ask a Venue representative for guidance.  Any and all extension cords should be secured with Gaffer’s Tape.

Attendance During Set Up.  The Set Up Period is intended for adult installation of Client provided decorations and limited adjustments to the Personal Property layout.  Attendance by either adults not actively participating in the decorations or children is discouraged. Impromtu rehearsals or meals not provided for in the Rental Contract may subject you to additional charges.

Standing on Furniture; Dragging Furniture. Standing on chairs or tables of any kind is strictly prohibited, as is dragging furniture.

Running, Pushing and Shoving. Not allowed.

Flushing Items Not Intended.  Despite the plumbing being new as of the renovation it was not designed for items other than toilet paper and human waste to be flushed.  Flushing other items is prohibited.

Excessive Cleaning; Unsanitary Conditions. Excessive cleaning requirements due to conduct at an Event, whether as a result of Attendees failure to use restrooms in a sanitary manner, or illness resulting from intoxication, or otherwise may result in you receiving a damage assessment.

Thermostat Management. Thermostats and outside air settings are made by the Operator in connection with ongoing thermal stability and building air quality.  Due to the thermal mass of the building short term adjustments at individual thermostats are not especially effective, and may conflict with overall management.  For this reason, you, your Attendees and Vendors are asked not to touch the thermostats.  As a general tendancy, the Facility may seem a little on the cool side. For this reason, Attendees who are prone to feeling cold when others do not should be encouraged to have a sweater, shawl, scarf or similar with them.

Vendor Access Cooperation.  Vendor access is provided through the larger of two roll up doors on the East side of the Facility. Vendors should be prepared to unload efficiently into the staging area in the back of the house provided by Operator, allow the door to close, park their vehicle and then return for set up. The process for removing materials and departing is a reversal of this sequence. Vendors who refuse to cooperate with this process may be excluded from further work at the Facility.

Compliance with Laws. Client shall not permit any illegal activities or conduct at the Venue.
